Process Overview
Small projects: Projects determined to be under 100 hours are usually billed hourly. Estimates for small projects with agreed deliverables are given to our clients, and upon approval, work begins. Small projects invoices are generated every two weeks, payable with 1% Net 14 terms.
Large projects: Our large project process follows a structured process to allow for the best possible execution and deliverable to our clients.
| Large Projects |
Phase 1:
Initial Interview
This phase is a no-cost phase, and typically last between 2 to 10 hours, depending on the size of the project. Our staff interviews our clients key decision makers to understand the scope and scale of the project.
Phase 2:
Project Requirements
This phase is a short phase, usually spending 4 to 16 hours onsite, and usually three times as many offsite, gathering documents from the company, doing research, and proposing possible solutions for the project.
Deliverable: A three to six page document identifying current pain points, research findings, and proposed solutions.
Billing: 40% prior to start, 60% due at receipt of deliverable.
Phase 3:
Project Planning
This phase is also usually a shorter phase, lasting between 10-20 hours where all feedback from the requirements are made into a consensus and a detailed project plan (in the form of a detailed Gantt chart) is developed. This phase will show all costs for the next phase.
Deliverable: A Gantt chart showing itemized tasks, resources needed, timeline, milestones, and all costs forecasted.
Billing: 40% prior to start, 60% due at receipt of deliverable.
Phase 4:
Development
This is usually the bulk of the cost of the project. First, we prototype the software visually for approval by the client. All pages, screens, and user-path flow are mocked up and shown to the client for approval. After the mockups are approved, software development (and potentially creatives) ensues working to develop according to the detailed mockups.
Deliverable: Software is completed and ready to deliver to the client.
Billing: 60% prior to start, 40% due at receipt of deliverable.
Phase 5:
Implementation
The software is complete. The implementation is where we install the software in your production environment (or build one for you), train your staff on use of the software, develop documentation, and ultimately hand the software completely off to your company to then build your ROI in your new software.
Deliverable: Software is up and running in production, and your staff is trained and documentation exists to train new staff.
Billing: 40% prior to start, 60% due at receipt of deliverable.
Phase 6:
Maintenance
The only optional phase. This is a maintenance phase where all bugs, scaling problems, and other issues are solved. Minor features may also be added in this phase.
Deliverable: As needed.
Billing: Billed hourly.
| |
Hybrid projects: Occassionaly a project will fall between small and large and a hybrid of the two processes are blended depending on the project.
